Bookkeeping with AI in a small business: what to hand over and what to keep

October 21, 2026

What the AI in QuickBooks, Xero and receipt apps does in 2026 and what it costs; an independent test where Xero's auto-reconcile handled 61% of bank lines; the categorisation mistakes that move profit (a loan payment booked as expense overstates costs by $11,400 a year); what the accountant still has to see; and a monthly routine that takes about an hour.

A person at a white desk holds a handful of paper receipts next to a pink calculator and a pile of invoices

Every accounting app now says AI does the books. QuickBooks has an Accounting Agent, Xero has JAX, receipt apps read a crumpled photo and file it before you've put your phone away. Some of that is real: the bank feed gets categorised, receipts get matched, invoices chase themselves. But the books still have to be right at the end of the year, and the software won't sign the tax return.

This piece covers what the AI in QuickBooks, Xero and the receipt apps does now, how accurate it is when someone outside the vendor measures it, the mistakes it keeps making, what your accountant still needs to see, and a monthly routine that takes about an hour.

What the software does now

QuickBooks prices have risen twice in a year: Plus went from $99 to $115 on 1 July 2025 and to $140 on 1 August 2026; Essentials from $65 to $75 to $85. Xero's US plans rose on 1 October 2026 (Growing $55 to $59). The AI is part of what you are now paying for, whether you use it or not.

The headline claims need reading closely. Intuit's "saves up to 12 hours a month" is a survey answer: 45% of QuickBooks customers asked in April 2025 said the AI bank feed saved them 12 hours a month. It is not a measured average. Xero says auto-reconcile handles "over 60%" of the bank lines it sees at about 96% accuracy, where accuracy means lines users did not go back and change, averaged over April to July 2026. Ramp says its receipt matching is "90%+" accurate without saying how it was measured.

How accurate it is when someone else checks

An accounting firm, Digit, ran Xero's auto-reconcile on real client files from January to March 2026 and published the results:

text
Digit's test of Xero auto-reconcile, Jan-Mar 2026

Client Bank lines Auto-reconciled Share
---------------- ---------- --------------- -----
Day spa 116 69 59%
Web developer 39 26 67%
---------------- ---------- --------------- -----
Both 155 95 61%

That matches Xero's own "over 60%" handled. The interesting part is what went wrong in the rest: transfers between related companies (the most common failure), items between group companies dropped into a suspense account, batch deposits and part payments, sales tax added to a subscription that has none, the same subscription coded two different ways in two runs, and bank lines coded from memory before the supplier's bill had arrived.

Put Xero's figures on a month of a small business with 300 bank lines:

text
300 bank lines a month
  x 60% handled by auto-reconcile = 180 lines done for you
x 4% of those later corrected (96% acc.) = 7 wrong lines a month, silently
  300 - 180 = 120 lines left for a person

Over a year: about 86 wrong lines nobody looked at, unless someone does.

Seven a month sounds like nothing until one of them is a $20,000 loan drawdown booked as sales. The AI takes away most of the typing; it doesn't take away the checking.

The accountants agree. In Intuit's own survey of 700 US accounting professionals (April 2025), 46% use AI every day, against 28% of small businesses. In a Dext survey of UK accountants (December 2025), half said clients had lost money acting on wrong AI answers, and of those who had seen it, 93% spent up to 10 hours a month putting it right. That last one is about chatbots answering tax questions, not bookkeeping software, but it's the same habit: trusting a confident answer without a check.

Where categorisation goes wrong

Bank feed AI learns from the description and the amount. It does well on the boring repeats (the same phone bill every month) and badly on anything where the bank line doesn't tell the whole story. The usual offenders, with what each does to the numbers:

Bank line AI often books it as Should be Effect
-------------------------------- ----------------------- ---------------------------------- ------------------------------
Transfer savings -> checking income transfer between own accounts profit and tax overstated
$5,000 loan received sales loan (a liability) sales overstated by $5,000
Loan payment $1,200 expense $1,200 $950 principal (liability) expenses overstated by $950
                                                           + $250 interest (expense) a month, $11,400 a year
Stripe payout $4,840 sales $4,840 sales $5,000 - fees $160 sales and fees both understated
Owner pays self $3,000 wages or expense owner's draw (equity) profit understated
Laptop $2,900 office supplies equipment (asset), unless you use expense in the wrong year
                                                           the $2,500 de minimis election
Dinner with a client $180 meals, 100% meals, 50% deductible deduction overstated by $90
Sales tax collected part of sales sales tax payable (liability) sales overstated
Personal shopping on the office supplies owner's draw a deduction you can't claim
  business card

The Stripe line is worth a sum. Fifty $100 sales at Stripe's standard 2.9% + 30¢ cost 50 × $3.20 = $160 in fees, so the payout is $4,840. Book the payout as sales and your revenue is $160 short and the fees vanish; over a year of weekly payouts that's an income statement that doesn't match the Stripe dashboard or the 1099-K. The fix is a rule that splits each payout, or connecting Stripe directly so sales and fees come in separately.

The loan line is worse. A $1,200 monthly payment that is $950 principal and $250 interest, booked wholly as an expense, overstates expenses by $950 × 12 = $11,400 a year. That looks like a tax saving until the accountant finds it.

What to hand over and what to keep

----------------------------------------- -------------------------------------------------
Categorising repeat bills (rent, phone, Anything new: the first payment to a new
software, utilities) after you've supplier, a new kind of income
  approved the first few
Matching receipts to card lines Transfers, loans, owner's money in and out
Drafting invoices and payment reminders Anything over a threshold you set ($1,000 is
                                             a reasonable start)
Suggesting matches for bank lines Equipment, vehicles and anything that might be
                                             an asset
Flagging duplicates and odd amounts Sales tax, payroll and contractor payments
Answering "what did we spend on X" Approving the month-end reconciliation
Anything going to the tax return

In practice: let the AI make suggestions, accept them in bulk only for vendors you have already checked once, and turn off automatic acceptance for everything else. Both QuickBooks and Xero let you create rules from a corrected line; making the rule yourself after you've fixed a line is how the categorisation gets better over time.

If staff use AI chat tools for money questions as well, write down what they may and may not paste into them; our one-page AI policy for a ten-person company has the wording.

What the accountant still has to see

Your accountant or tax preparer needs, at the year end and often each quarter:

- Bank and card reconciliations that tie to the statement balance on the last day of each month. A reconciled balance is the single best sign the books are complete.
- The list of fixed assets bought in the year, with dates and amounts, and whether you elected the de minimis safe harbor (up to $2,500 per item or invoice expensed at once; $5,000 with audited financial statements). The election goes with the tax return.
- Loans with their statements, so principal and interest can be split.
- Owner's draws and contributions kept apart from wages and expenses.
- Contractor payments. From payments made in 2026 the 1099-NEC threshold rose from $600 to $2,000, so fewer forms, but you still need each contractor's W-9 and the totals.
- Sales tax collected and paid, by state.
- The questions the software couldn't answer: most apps have an "ask my accountant" category or a note field. Use it instead of guessing.

Keep the records themselves. The IRS default is three years from filing, six if income was under-reported by more than 25%, seven for a bad-debt or worthless-securities deduction, and at least four for employment tax records. Scanned receipts count as records under Revenue Procedure 97-22 if your system keeps them legible, indexed and retrievable; a receipt app that stores the image does that, but only while you can get it out.

That last point is not theory. Bench, an online bookkeeping service, shut down without notice on 27 December 2024, leaving thousands of small businesses (one customer quoted "11,000 or so") locked out days before year-end. It was bought and reopened within days, but anyone who had never exported their books had a bad week. Export the general ledger, the reconciliations and the receipt images once a quarter, whatever service you use.

A monthly routine: about an hour

Every week, 10 minutes. Open the "for review" list in the bank feed. Accept the repeats you know, fix anything new, and make a rule from each fix. Anything you can't place goes to the ask-my-accountant category with a note.

Month end, about 40 minutes.
1. Reconcile every bank, card and payment-processor account to the statement balance on the last day of the month. If it doesn't tie, find the difference before you go on.
2. Look at every line over your threshold, every transfer and every loan line, and check the category yourself.
3. Search the month for the categories the AI gets wrong: income that's really a transfer, expenses that are really loan principal or owner's draws, meals booked at 100%.
4. Check that each receipt over $75 is attached (the IRS needs documentary evidence for travel, gift and transport expenses of $75 or more; many firms keep all of them).
5. Read the profit and loss next to last month's. A category that doubled or vanished is usually a booking error, not news.
6. Review the rules the software created or that you added this month. A wrong rule repeats its mistake every month.

Every quarter, 30 minutes. Export the ledger and receipts, send the accountant the open questions, and check estimated tax and sales tax are paid.

Compare the cost: a QuickBooks Plus subscription at $140 a month plus about five hours of your time, against a bookkeeping service at around $300 a month for basic work (NerdWallet's 2026 estimate) or a bookkeeper's time at the median $23.66 an hour (US Bureau of Labor Statistics, 2024). The AI makes doing it yourself realistic for a small business with a few hundred transactions a month. It doesn't make the monthly check optional.

Your accounting app is one subscription among many, and its price has risen twice in a year. Our piece on the software spend check shows how to list them all and decide which to keep.

List every subscription the business pays for, accounting software included: the yearly total, empty seats, tools doing the same job, and a renewal calendar with the last day to cancel each one. Runs in your browser.
